People Development Administrator - SPPA

"The Scottish Public Pensions Agency (SPPA) is an Agency of the Scottish Government. Our purpose is to effectively administer pensions and support over half a million of Scotland’s key workers – paying pensions accurately and on time on behalf of the Scottish Government for Teachers, the Police and Firefighters as well as for employees of the National Health Service in Scotland. The Agency administers these public service pension schemes on behalf of Scottish Ministers with an annual pension spend to over 200,000 pensioners of more than £5 billion. The SPPA is made up of four business areas: Operations (including Customer Services, IT and Projects), Finance, Procurement and Risk, Policy and People, Strategy and Communications."

Responsibilities
  • Providing administrative support to the team and manage the People Development mail boxes. Prioritising and responding to customer requests in a timely manner via telephone and email, where applicable escalate enquiries to supervisor/colleagues for action.
  • Creating basic evaluation online surveys, monitor response rates and produce standard event reports.
  • Analysing the outputs from the Learning and Development App by collating training needs from colleagues across the agency and monitoring mandatory learning completion rates.
  • Sending out course register forms, update the attendance spreadsheets, co-ordinate with suppliers (paper work), send out invites, create online bookings.
  • Supporting trainers on the day of an event by arranging room bookings, facilities and making sure that the equipment is working.
  • Collating, analysing and validating information, updating and maintaining electronic records, spreadsheets and documentation as well as carrying out electronic filing and information management in order to support GDPR and retention policies.
  • Working as part of a team to deliver key outcomes, job shadowing and ownership of processes and small projects.
  • Prioritising daily work following agreed procedures and within timescales.

Essential Criteria 

1. Good written and verbal communication skills, with the confidence to build positive working relations.
2. Good knowledge and understanding of Outlook and Microsoft Office applications such as Word, Excel and Teams.
3. Ability to work well as part of a team working flexibly across a number of different tasks.
4. Good organisational and time management skills, including the ability to balance competing demands and use initiative.
